Privacy Policy

Effective Date: April 15, 2026

1. Information We Collect

We collect information you provide when creating an account (name, email address), managing your podcasts (podcast details, availability, episode types), and interacting with guests (booking details, intake form responses, media assets). We also collect usage data such as page views and feature interactions to improve the Service.

2. Guest Data

When guests book through your public booking page or complete intake forms, we collect their name, email address, company information, social profiles, and any responses they provide. This data is associated with your podcast account and is visible to you as the host. Guests may request deletion of their data by contacting the host or PodPortals directly.

3. How We Use Your Information

We use your information to: operate and provide the Service; send booking confirmations, reminders, and notifications; sync with connected calendar and media services; generate promotion campaigns and episode materials; and improve the Service through aggregate analytics.

4. Third-Party Services

PodPortals integrates with third-party services including Google (Calendar, Drive, OAuth), Calendly, Cal.com, and email delivery providers. When you connect these services, we access and store only the data necessary to provide the integration. Each third-party service has its own privacy policy governing its handling of your data.

5. Data Storage and Security

Your data is stored in secure, encrypted databases. We use industry-standard security measures including HTTPS encryption, hashed passwords, and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law. Aggregate, anonymized data may be retained indefinitely for analytical purposes.

7. Your Rights

You have the right to: access the personal data we hold about you; correct inaccurate data; request deletion of your data; export your data in a portable format; and withdraw consent for optional data processing. To exercise these rights, contact us at privacy@podportals.com.

8. Cookies

We use essential cookies to maintain your authentication session. We do not use tracking cookies or third-party advertising cookies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the Service. Continued use of the Service after changes constitutes acceptance of the revised policy.
